Dean's Analyst Routing Guide

1. CASE ROUTING

The Department Analyst will route cases to the dean's office after completing the departmental level review. For more details on the departmental routing process, you may review the Department Analyst Routing Guide

2. LOGGING IN

Log in at APBears, using your CalNet ID. 

3. CASES IN PROGRESS

Once a case is created, the list of cases in your department(s) can be seen by clicking on the “Cases” button on the top navigation bar. You can open a case by clicking on the View link in the left-hand column. 

4. CASE NAVIGATION and the overview tab

The case will open up to the Case Overview tab, this will serve as your launch page. You will navigate to through the case tabs to review and update the case material. Review the case overview tab and ensure the completed fields are correct. You may also add case notes at this time. If corrections are required the case will need to be returned to the department. 

The Overview tab is not accessible to the candidate, faculty reviewer(s), ad hoc chair, or ad hoc member(s).

5. CANDIDATE SUMMARY TAB

The Candidate Summary includes all the achievements and activities of the candidate during the review period. At the top is a summary of the sections where there is data. If an individual does not have enter data in a category, i.e. the Self-Statement, it will not be listed. By clicking on any of the items, it will take you to that section in the Candidate Summary. Documents provided by the candidate for inclusion in the review, such as the CV, Self-Statement, etc., can be found under the Review Documents section at the end of the Candidate Summary.

6. RECOMMENDATION OVERVIEW TAB

Under the Recommendation Overview tab, you will find the departmental salary recommendation and case documents such as the departmental ad hoc report (if any), the candidate’s response to the review materials, external letters, the departmental recommendation, etc. You will only see documents generated at the departmental level and not documents added subsequently by campus reviewers.

7. ASKING THE DEAN TO REVIEW THE CASE

Under the Reviewers tab, you may edit reviewers and use the Request Review button to trigger an email to the dean letting him or her know a case is ready for review. 

8. DEAN RECOMMENDATION

Once you have reviewed the file and prepared the dean recommendation, you or the Dean may upload it by going to the Documents tab and clicking add document. In the pull down menu, select Dean Recommendation and attach the document. You will also need to enter the salary recommendation on the Salary Recommendation tab and have the Dean sign off on the salary recommendation. If the dean wishes to concur with the departmental recommendation and has no further comment, simply have the dean sign off on the salary recommendation and do not upload a Dean Recommendation document type. The dean's endorsement of the departmental salary recommendation will be clearly displayed on the Recommendation Overview tab.  

9. ROUTE TO APO

Navigate to the case header and route the case to APO. 

10. ROUTING LOG

Under the Routing Log tab, there is a chronology of the actions taken, by whom, and the dates. This Routing Log will be available to you, the dean, the department chair, the candidate, and the Department Analyst throughout the review process.
