DEPARTMENT ANALYST
After the Department Analyst has released the final decision and archived the case, a candidate may choose to exercise their right to request a reconsideration. The case, including the request for reconsideration letters, must be submitted to campus within 120 days of the day the decision was released by APO. Timely action on the part of the Departmental Analyst will be essential in meeting this deadline.
Upon receipt of instruction from the Chair/School Dean to the Department Analyst, the Department Analyst shall request by email that APO re-open the APBears case. The Department Analyst should copy the Dean’s Analyst on this request and, if the faculty holds above-the-line appointments in more than one department/school, the other Departmental and Dean’s Analysts as appropriate. Once reopened, the case will be in the “Department Recommendation Initiated” stage.
Before taking any action, the Department Analyst should review the listed Designated Department Chairs under the “Reviewer” tab. If there has been a change in chairs or vice chairs (or an acting chair has been appointed for the summer) after the case was archived, remove or add chairs as appropriate. This is necessary so that when the Department Analyst provides review access to the chair, the triggered email will go to the appropriate individual(s). It is also important to make such changes in order to remove access to the file to those who no longer have a role and a business need to access the file.
In reconsiderations, the candidate or Chair shall provide a letter outlining the reason(s) for the request.
- If written by the candidate, the Chair should review and provide concurrence. The Department Analyst shall upload this letter under the Documents tab, as “Departmental Reconsideration Request”.
- If written by the Chair, best practice dictates the Chair meet with the candidate to provide a copy of and discuss the recommendation. Once that is done, the letter shall be uploaded as noted above. If necessary, the Department Analyst shall update the Salary Recommendation tab to reflect the recommendation within the reconsideration request.
- If the Chair writes the reconsideration request or chooses to provide a letter in addition to the candidate’s, the candidate shall have five working days (seven calendar days) to review and respond to the reconsideration request written by the Chair. The Department Analyst shall follow the same procedures as in earlier stages, providing the candidate with five working days (seven calendar days) to review and respond. If the candidate choses to provide a written response, it shall be uploaded as “Candidate’s Response to Reconsideration”.
The Department Analyst may now route the case to the Dean’s Office under the Case Overview tab.
DEAN'S ANALYST
Upon receipt of the case, the Dean’s Analyst shall proceed as in earlier stages of the case by requesting review by the Dean (or designated Associate Dean) and preparing the Dean’s reconsideration letter if appropriate.
The Dean’s Analyst or Dean shall upload the letter as “Dean’s Reconsideration Recommendation” under the Documents tab. In consultation with the Dean, the Dean’s Analyst shall make any necessary changes to the Salary Recommendation tab and obtain the Dean’s sign-off on the salary recommendation tab.
The case may now be routed to APO. This must occur within 120 days of the day the decision was received from APO via APBears. Timely action by the Dean’s Analyst is essential to meeting this deadline.
ARCHIVING THE RECONSIDERATION
Once the campus has issued the decision on a case that was opened for reconsideration, follow the steps in the Final Decision routing guide to once again archive the case.
